Tip Tuesday - Outlook Quick Parts & Templates

Tip Tuesday this week we are taking a look at two features within Outlook that make sending out standardised text or messages really simple. You can draft your message, let’s say its a monthly report you have to send in the same format each month. You draft your message, simply copy and paste into either Quick Parts or Templates in Outlook, and then whenever you need to insert that text at the click of a button you can add it into your email, and if you need to add in any extra information such as sales figures on your monthly report to your boss you can do so with ease!

To get started open a new email, along the top tool bar you should see quick parts, and also My Templates (usually at the very end of the toolbar) select these to get started. In here you can draft your message, give it a name and save it. When you need to drop that text into an email going forwards you can hit these buttons and select the text you want.

A notable difference on the two. Quick parts is saved on the machine that you are working on, so if you are frequently logging into you Outlook account on different devices this won’t be a great option for you. Templates however follows you across your Microsoft account so you can have this available on any machine, including Outlook on the web!
